Guido

Virtual assistant for Club Atlético Quilmes

Club Atlético Quilmes in Argentina asked us to build a WhatsApp chatbot to transform member support: schedule enquiries, activity information, membership fee status and much more — available 24 hours a day with no human intervention.

But Guido was far more than a chatbot. We designed a database that records every bot interaction, which allowed us to build a management KPI system and — most importantly — understand exactly what members were really asking. That knowledge became the key input for defining the concepts on which we would develop the RAG system in the next phase.

The process behind Guido

Phase 1 — Discovery

Club needs audit

We analysed Club Quilmes' existing support channels, identified the most frequent query types and defined the functional scope of the bot: activity schedules, discipline information, membership fee status and general enquiries.

Phase 2 — Architecture

Conversational system design

We designed the conversation flow, the integration with the WhatsApp Business API, and the database that would record every interaction along with its metadata: query type, detected intent, timestamp, resolution and member satisfaction.

Phase 3 — Development

Bot build and integration

We built Guido with integrated conversational AI and connected it to the club's management systems to query membership fee debt status and up-to-date activity information in real time.

Phase 4 — Data intelligence

KPIs and the foundation for RAG

With months of recorded interactions, we built a management KPI dashboard and — more importantly — identified with precision exactly which concepts and data members asked about most. That knowledge became the definitive input for developing the RAG system in the next project phase.

The process behind BellaBot

Phase 1 — Discovery

Field sales process mapping

We analysed the day-to-day routine of the sales reps: how they consulted the catalogue, how they communicated prices, how they processed orders and what information was lost along the way. We identified that 80% of friction occurred between the moment of a client enquiry and the logging of the order in the ERP.

Phase 2 — Architecture

Integrated ecosystem design

We designed a single-channel solution on Telegram with three layers: a RAG engine with the complete product catalogue, a bidirectional connector to the ERP for prices and orders, and a CRM integration so that every interaction was linked to the corresponding client.

Phase 3 — Security and Control

Restricted access for the sales force

We implemented a per-user authentication system that ensures only authorised sales reps can query the catalogue, view prices or initiate orders. No external user can interact with the bot or obtain sensitive company information.

Phase 4 — Integration and notifications

Full connectivity: ERP, CRM and email

Every order initiated on Telegram automatically triggers the process in the ERP, enriches the client record in the CRM and sends a summary email to the client and to the sales director for immediate follow-up — all from a single conversational interaction.
